Reach out & follow up

How to follow up with an interested owner

Turn a reply into a clear next step without losing the history of the conversation.

The outcome

Leave the opportunity with an accurate status, a concrete next action, and a follow-up date.

Before you start

  • Find the property or lead associated with the response.
  • Have access to the actual message or call outcome, not just a notification.

The workflow

Work through it

6 steps
  1. 01

    Review the full conversation

Check the previous calls, messages, and relevant notes. Make sure you understand who replied, what they asked, and whether another team member has already responded.

  2. 02

    Separate interest from a commitment

Record what the owner actually said. “Send me more information” is different from accepting a price, agreeing to an appointment, or signing a contract.

  3. 03

    Record useful facts

Update the relevant contact or lead with confirmed details, timing, and preferences. Avoid placing sensitive personal information into notes unless it is necessary and appropriate.

  4. 04

    Reply through the appropriate channel

Use the channel the person requested or one they are eligible to receive. Refer to the earlier conversation and ask for the specific information needed to move forward.

  5. 05

Set the next action and date

Record an agreed call, document request, property visit, or analysis task. Use Calendar for a dated appointment instead of relying on memory.

    Open Calendar
  6. 06

    Check the deal’s recorded activity

Review outreach and checklist evidence. Automatic recording depends on the supported channel and its setup; if a reply is not visible, verify the source inbox or calling history rather than assuming it was captured.

Worked example

A reply with a useful next step

An owner says they may sell after a tenant leaves in six weeks. Record the timing, ask which contact method they prefer, and schedule the follow-up they agreed to rather than immediately repeating the original pitch.
