Move a deal forward
How to manage a deal from first contact to closing
Keep the opportunity, conversations, documents, and next actions connected.
The outcome
Give every active deal a current stage, supporting evidence, and a clear next action.
Before you start
- Identify the correct property and owner or counterparty.
- Collect any existing conversations, documents, and agreed dates.
The workflow
Work through it
- 01
Locate the deal in your working pipeline
Open Deals and use the relevant property or deal record. Avoid maintaining conflicting copies of the same opportunity.
Open Deals - 02
Review the checklist
Open the property’s Deal checklist. Separate steps already supported by recorded activity from steps that still need an action or confirmation.
- 03
Keep outreach evidence accurate
Review the individual call, SMS, email, and AI-call activity where available. Automatic outreach records show what the system observed; they do not automatically prove interest, acceptance, or completion of due diligence.
- 04
Keep analysis and terms current
Update your assumptions when a price, renovation scope, financing arrangement, or closing date changes. Keep negotiation notes aligned with the latest proposal.
- 05
Organize documents and deadlines
Use Documents for the transaction’s files and Calendar for agreed dates. Before a deadline, confirm that the required inspection, document, signature, or professional review actually happened.
Open Documents - 06
Review the closing workspace and final evidence
Use the closing workspace when it is available for the deal. Confirm signed documents, funding, and the appropriate closing evidence with the responsible professionals before considering the transaction complete.
Worked example
One record, one next action
A seller accepts further discussion but requests an inspection before finalizing terms. Keep the deal at its actual stage, record the inspection appointment, and leave the agreement steps incomplete until the necessary documents are ready.
