Reach out & follow up
How to call owners from your property list
Build a calling queue, choose the right number, and keep track of each conversation.
The outcome
Complete a controlled calling session with clear outcomes and next steps.
Before you start
- Prepare a reviewed property shortlist and a short introduction.
- Make sure your calling setup is ready and contact restrictions have been checked.
The workflow
Work through it
- 01
Select the properties you want to work
In Property search, check the relevant properties and choose Add to dialer. Loading or opening a queue is preparation; it should not be treated as permission to start calls automatically.
Select properties in search - 02
Prepare contact information
Skip trace selected properties as needed or use the individual SkipTrace action in the dialer. Wait for the returned contacts to appear before deciding whom to call.
- 03
Review the queue
Open Dialer, confirm the intended properties are present, and remove entries that do not belong in this session. Queue removal is different from deleting a saved property.
Open Dialer - 04
Choose a specific eligible number
Review all traced numbers for the property and select the one you intend to call. Check its DNC indicator and previous call status; do not rely on the first number alone.
- 05
Make the call and record the outcome
Start the call deliberately. Use the available outcome and notes controls to record what happened, including wrong numbers or a requested follow-up. A green called indicator shows an attempt, not proof of a successful conversation.
- 06
Review what was recorded
Check the call history and the property’s outreach checklist activity. If a follow-up was agreed, record the next action and date before moving to another property.
Worked example
A small, deliberate call session
Load five reviewed properties, inspect each contact roster, and call only appropriate numbers. If an owner asks for a call next Tuesday, record that commitment rather than leaving the property with only a generic called status.
