Reach out & follow up

How to reach out to an owner by SMS or email

Send a relevant first message and keep the conversation connected to the property.

The outcome

Send one appropriate message with a clear purpose and a traceable follow-up.

Before you start

  • Verify the recipient and your right to contact them through the chosen channel.
  • Have the required sender setup; SMS outside the dialer needs an active user-owned number.

The workflow

Work through it

6 steps
  1. 01

    Open the property or contact

Review the address and previous activity so your message is relevant and does not repeat a conversation already in progress.

  2. 02

Choose the channel in Reach out

Select SMS or email, then choose the specific recipient in the relevant composer. Keep recipient selection separate from the compact Reach out menu.

  3. 03

    Check the sender and recipient

Confirm the correct destination and sender. Do not assume a shared dialer number can send your SMS; the SMS workflow requires an active number owned by your account.

  4. 04

    Write a short, specific message

Introduce yourself, explain why you are contacting them, and ask one clear question. Avoid misleading claims about an offer, a buyer, or a prior relationship.

  5. 05

    Review and send deliberately

Check the property reference, spelling, recipient, and channel restrictions. Use the composer’s send action and wait for a success or error response; a drafted message has not been sent.

  6. 06

Check activity and plan the next step

Review the recorded outreach activity and available delivery information. A sent email or SMS is not proof that the person read it or agreed to anything. Check replies in the supported connected channel.

Worked example

A first message with one question

“Hi, I’m Alex. I’m reaching out about your property on Oak Street. If I have the right person, would you be open to a brief conversation?” Use this only where that outreach is permitted, and honor any request to stop.
